Speichergarantie und RMA-Reklamationsabwicklung: Bedingungen in der Angebotsphase vereinbaren

Warranty and RMA (return merchandise authorisation) terms are usually the last thing agreed in a storage sourcing project, and the first thing tested after delivery. This article covers the delivery-stage half of that conversation: why warranty length is tiered by product line, how a supplier separates a batch issue from a single-unit issue, what records a claim needs, and which clauses to settle while the quotation is open.

It is written for B2B procurement and after-sales or quality leads, and does not revisit pre-purchase checks such as incoming-material inspection or flash verification.

Shenzhen LingC Industrial Co., Ltd. is a storage and computer-peripheral manufacturer based in Shenzhen, China. The company was founded in 2023, and the team behind it brings more than a decade of experience in storage manufacturing.

Why Warranty Length Is Set Per Product Line

One warranty number printed across a whole catalogue is easy to write and hard to defend. A storage range spans parts with very different duty cycles: a reader or hub on a fixed desk sees almost no mechanical load, while a flash drive is carried and re-plugged daily, and a TF card may be written continuously inside a dash cam or camera. Because exposure differs, each tier is set to match how the product is used.

Current terms run at three levels:

  • USB hubs and docks, and card readers — 3 years. Largely passive, fixed-connection products, so they sit at the longest tier.
  • TF cards, internal SSDs and portable SSDs — 2 years. These carry active flash content, so the term reflects the write duty cycle.
  • USB flash drives — 1 year. Handled and re-plugged constantly, so this line carries a shorter cover.

One detail is easy for a line-level summary to hide: within the memory-card line, the entry tiers (Basic and Standard) are covered for 1 year, while the Premium, High Speed and Ultra Speed tiers are covered for 2 years. The exact term for a model is confirmed in the quotation, not assumed from a headline number.

Batch Issue or Single-Unit Issue: The First Determination

Every claim starts with one question — is this an isolated unit, or a problem across a production batch? The answer decides whether the response is a one-for-one replacement or a containment action that touches a whole lot.

A single-unit issue is an isolated failure that does not repeat within the same lot; the unit is returned, assessed, and replaced or repaired on its own merits. A batch issue is a defect pattern that repeats across units sharing a production lot, a date code or a component-lot input, confirmed against the lot record rather than complaint volume.

When a pattern is confirmed, the response is containment: hold and sort the affected range, and agree how far the replacement scope reaches. Without a lot code on the unit and a component-lot-to-finished-batch map in the factory record, neither side can prove which shipments belong to the affected range, and the claim stalls.

The Records a Claim Needs

Under-documented claims are the main cause of slow resolution, because the supplier cannot match a returned unit to a shipment. A claim that moves quickly usually carries five things:

  • Unit identification — model, capacity, and the marking on the unit (serial, date or lot code).
  • Proof of purchase — invoice or PO number, quotation reference, and delivery date.
  • Batch reference — the lot code, so the factory can pull the matching release record.
  • Failure description — what the unit does now, on which host, under what usage.
  • Incoming test result — the supplier’s test on the returned unit, run on the same method as production.

Industry-common complaints about warranty handling are rarely about the policy itself, but about a policy that cannot be applied because the records behind it are incomplete — and those gaps are far less costly to close before the order than after.

Compliance documentation follows the model, not the line. Models such as the PS5005 portable SSD and the HB2090 hub carry CE / FCC / RoHS documentation; for any other model, certification for this specific model can be arranged upon order confirmation. The factory runs an ISO 9001 / 14001 / 45001 management system, certified since 2024 and renewed in 2026.

Replace or Repair: The Clauses to Agree Before the First Order

The best moment to settle warranty mechanics is while the quotation is open, because those terms become part of the final commercial position. Five clauses do most of the work.

  1. Claim window and start point. State whether cover runs from the invoice date or the delivery date, and per line.
  2. Default remedy. Say whether the standard response is replacement or repair, and what happens when no equivalent replacement is available.
  3. Replacement warranty. Define whether a replacement unit carries the balance of the original term or starts a fresh one.
  4. Freight and handling. Separate dead-on-arrival and short-shipment cases from wear-and-tear returns, and write down who carries freight in each.
  5. Batch escalation. Agree in advance what happens if a batch issue is confirmed — who notifies whom, how the affected range is defined, how containment is handled.

Also agree an assessment response time (quoted per account) and a no-fault-found process for units testing within specification.

Frequently Asked Questions

Is the warranty the same for every product line?

No. Terms are tiered by line: hubs and docks, and card readers carry the longest tier, TF cards, internal SSDs and portable SSDs the middle tier, and USB flash drives the shortest. Your exact term for a model is confirmed in the quotation.

What makes a claim a batch issue rather than a single failure?

A repeated defect pattern across units that share a production lot or component-lot input, confirmed against the lot record. Isolated failures within a lot are handled unit by unit.

Where is the warranty term written down?

In the quotation, per model. A project that needs a non-standard term should raise it before the order, not after a failure.

Summary

Warranty and RMA governance is a delivery-stage discipline: set cover to match each line’s duty cycle, trace every unit to a batch, decide batch versus single-unit on the record rather than on volume, and put remedy, freight and escalation rules into the quotation. Do those four and most claim disputes never start.

To see the lines these terms apply to, browse the TF card and memory card line or the USB flash drive range , and review our OEM and ODM services if you are commissioning a private-label build.
